A temporary gathering changes how a commercial property is used. Before arranging any security support, the organiser should describe the expected attendance, access routes, normal occupants and the responsibilities already assigned to venue staff. This is planning guidance, not a claim that one security arrangement suits every event.
Define the activity and who manages it
Record the location, hours, intended audience and areas in use. Name the organiser and the venue decision-maker. Explain whether members of the public, alcohol sales or restricted activities are involved so the appropriate advisers can assess the requirements. Keep permissions, venue rules and specialist safety duties distinct from security cover.
Specify access and staffing tasks
Identify which entrances need attendance and how authorised visitors are recognised. Separate reception, queue management, patrols and any requirement to refuse entry. State who can make decisions when instructions conflict or a visitor is not on the expected list.
A staffed entrance cannot remain continuously covered if the same officer is assigned elsewhere. Plan handovers and breaks around the duties rather than assume one person can perform simultaneous tasks.
Check the evidence for the actual work
Use the official SIA checking service to verify the appropriate individual licence where the work requires one. Obtain relevant training and insurance evidence for the proposed assignment. General descriptions of experience or accreditation do not replace those checks.
Agree reporting and escalation
Provide primary and backup contacts and identify issues that need an immediate call. Security personnel should know the venue’s emergency arrangements and the boundaries of their role. Guarding does not replace competent fire-safety planning, medical provision or the organiser’s responsibilities.
Review the whole premises
Consider normal tenants, deliveries and areas outside the gathering. Avoid disrupting required access for other users. Agree how the building returns to its normal security arrangement after the activity, including keys and access permissions.
ZimCos’s principal focus is commercial, construction and infrastructure security. For the wider premises requirement, review our security services or send the location and defined duties for assessment. Suitability, personnel, availability and scope must be confirmed before any assignment is agreed.
