A clear brief helps an organiser and venue understand what security personnel are expected to do during a temporary gathering. Start with the premises, authorised activity and the people who may enter. Avoid generic promises of complete safety or an assumed reduction in crime; the arrangement depends on the actual conditions and agreed duties.

Record the venue and operating period

Give the full location, setup and closing times, areas in use and expected attendance. Identify other building users and any normal deliveries or access that must continue. Share changes with the venue and the nominated security supervisor.

Write down the duty at each post

Distinguish an entrance post, a reception function and a patrol. Explain the information personnel use to recognise authorised visitors and who approves an exception. If public entry is involved, clarify decision-making and escalation without assuming every officer is qualified for every role.

Verify personnel and service boundaries

Check the licence appropriate to the contracted activity through the SIA register. Ask for relevant training, supervision and insurance documentation. Staffing numbers and mobilisation depend on availability and the confirmed scope.

Security arrangements do not replace the organiser’s venue permissions, emergency plan or specialist safety provision. Requirements involving fire safety, medical support or other specialist work need their own competent arrangements.

Prepare the escalation contacts

Name a primary organiser contact, a deputy and the venue contact. Decide which observations require an immediate call and who may authorise a change to the brief. Keep factual incident records and distinguish what was observed from another person’s account or an assumption.

Plan handovers and closure

Agree breaks and relief where posts must remain staffed. Record expected arrivals, unresolved incidents and any changed access instructions during a handover. After closing, confirm who checks the agreed areas, manages keys and returns access permissions to normal.

Our commercial shift handover guide provides a starting point for records. ZimCos focuses on commercial premises, construction and infrastructure assignments. Send a defined premises requirement for assessment rather than assume a particular event capability is available.
